Questions for your wedding caterer

One of the biggest considerations in your wedding planning is your choice of food and with that, comes finding the perfect wedding caterer to suit your needs. Whether you’re opting for a sit-down dinner or a buffet, hiring a wedding caterer can be complicated and there are many things you need to ensure they get it right for your big day.

The following questions are entirely dependent on which type of wedding catering you would like to have, so feel free to cherry pick those that suit your own situation.

  1. What are your minimum and maximum numbers?
  2. How flexible are the caterers with the menus?
  3. Can we have a choice menu we like or are we restricted to set menus?
  4. Will we be able to taste the food and see how it will be presented before our wedding? And is this included in the cost?
  5. Are linen, cutlery, crockery, glasses, tables, chairs, and service included in the quote?
  6. Is VAT included in the quote?
  7. What deposit do we need to pay and when is the final balance due?
  8. Is there a list of recommended caterers we must choose from, or can we bring in our own?
  9. What are the costs associated with bringing in our own caterers?
  10. Can you set the tables for us?
  11. Do you need us to hire any extras or equipment?
  12. If you’re cooking/prepping on site, how much space do you need?
  13. What is the latest date we can finalise and make changes to guest numbers, menus, dietary requirements, and drinks orders?
  14. Do you provide a cake knife and stand?
  15. Are canapes included in the quote?
  16. Do you cater for all dietary requirements?
  17. What options are available for children?
  18. Will you provide tea and coffee after the meal?
  19. Do you offer late night food?
  20. Are butter, salt, pepper, and other table condiments provided?
  21. Do you source the drinks for us? If so, do we get these at cost price?
  22. Do you allow us to bring our own wine? If so, is there a corkage charge?
  23. If we buy our own alcoholic and soft drinks, will you chill them for us, and if so, when should we deliver them?
  24. Does the venue have a cash bar?
  25. What are the bar prices? (Ask for a sample menu)
  26. When can the bar be opened on the day, and when does it stop serving?
  27. What is your staff dress code?
  28. Will there be a co-ordinator on the day? Who can I contact in case of any issues?
